{"id":31678,"date":"2024-08-19T19:25:00","date_gmt":"2024-08-19T23:25:00","guid":{"rendered":"https:\/\/thinkorange.com\/5-crucial-questions-for-vbs-evaluation-forms-for-parents\/"},"modified":"2024-08-19T20:47:00","modified_gmt":"2024-08-20T00:47:00","slug":"5-crucial-questions-for-vbs-evaluation-forms-for-parents","status":"publish","type":"post","link":"https:\/\/thinkorange.com\/blog\/5-crucial-questions-for-vbs-evaluation-forms-for-parents\/","title":{"rendered":"5 Crucial Questions for VBS Evaluation Forms for Parents"},"content":{"rendered":"\n<p><span style=\"font-weight: 400;\">I learned one simple, valuable lesson a few years ago that I think is applicable in almost <em>every<\/em> area of ministry.<\/span><\/p>\n\n\n\n<p class=\"has-text-align-left\">Make all of your <strong>post<\/strong>-VBS plans, <em><strong>pre<\/strong><\/em>-VBS.<\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">This idea is not new. But for some reason, everything that needs to happen before event typically takes priority over all of the important follow-up tasks. <\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Truthfully, you can substitute that &#8220;vacation bible school&#8221; part with virtually anything important. But the key idea here is not to let the momentum stop when VBS ends. When you make a plan <em>before<\/em> you\u2019re completely &#8220;over it,&#8221; this year <em>and<\/em> next year&#8217;s VBS will be better.<\/span><\/p>\n\n\n\n<p>Here are some items to put on your post-VBS to-do list:<\/p>\n\n\n\n<ul class=\"wp-block-list\">\n<li>Plan your VBS volunteer appreciation gifts, party, notes. What will you do?<\/li>\n\n\n\n<li>Set VBS debrief meeting dates<\/li>\n\n\n\n<li>Create a system for making notes to remember for next year<\/li>\n\n\n\n<li>Pre-order <a href=\"https:\/\/thinkorange.com\/vbs\/\">next year&#8217;s VBS<\/a> (to get the best price)<\/li>\n\n\n\n<li>Create a Plan for VBS Evaluation and Feedback<\/li>\n<\/ul>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-creating-a-plan-for-vbs-evaluation-and-feedback\">Creating a Plan for VBS Evaluation and Feedback<\/h2>\n\n\n\n<p><span style=\"font-weight: 400;\">Today, I\u2019d like to focus on collecting feedback from families participating in your <a href=\"http:\/\/thinkorange.com\/vbs\">vacation bible school<\/a>. I\u2019ve seen a few people in our <\/span><a href=\"https:\/\/www.facebook.com\/groups\/orangevbs\/\"><span style=\"font-weight: 400;\">Orange VBS Facebook Group<\/span><\/a><span style=\"font-weight: 400;\"> discuss or share their VBS Evaluation Forms. They&#8217;ve been very helpful!<\/span> <\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">For ease, we prefer to give a short survey that parents can fill out before leaving VBS on the final day. This timing is best, because the experience is in the forefront of the parents\u2019 minds. If you prefer, you can create a digital survey to send via email or use a tool like <\/span><a href=\"https:\/\/www.surveymonkey.com\/\"><span style=\"font-weight: 400;\">SurveyMonkey<\/span><\/a><span style=\"font-weight: 400;\">,\u00a0 <\/span><a href=\"https:\/\/www.wufoo.com\/\"><span style=\"font-weight: 400;\">Wufoo<\/span><\/a><span style=\"font-weight: 400;\">, or my favorite <\/span><a href=\"https:\/\/www.typeform.com\/\"><span style=\"font-weight: 400;\">Typeform<\/span><\/a><span style=\"font-weight: 400;\"> to collect feedback.<\/span><\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-questions-for-your-vbs-survey\">Questions for Your VBS Survey<\/h3>\n\n\n\n<p><span style=\"font-weight: 400;\">Regardless of your method of sending out a survey or form, the real key is making sure that you have relevant and helpful questions. To create questions, start with your ministry\u2019s goal for VBS. Then, craft your questions around that specific goal to determine your success and how you can improve for next year. An example <\/span><span style=\"font-weight: 400;\">VBS goal could be something like, &#8220;<em>reaching the community and influencing a kid\u2019s faith journey.\u201d<\/em><\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">Remember that your VBS Evaluation should make every parent feel like they are known and are part of your ministry family. Therefore, I would recommend steering clear of directly asking parents whether or not they attend or have attended your church on an evaluation form. Ideally, you\u2019ll already know this information based on their registration information and your regular attendance rolls.<\/span><\/p>\n\n\n\n<h3 class=\"wp-block-heading\" id=\"h-sample-questions\"><strong>Sample Questions<\/strong><\/h3>\n\n\n\n<p><span style=\"font-weight: 400;\">Feedback forms can quickly become a place for negativity, and that\u2019s definitely not the goal! A few questions that we ask in a very positive way are below:<\/span><\/p>\n\n\n\n<ol class=\"wp-block-list\">\n<li><span style=\"font-weight: 400;\">What was your child\u2019s favorite part of VBS?<\/span><span style=\"font-weight: 400;\"><br><\/span><span style=\"font-weight: 400;\">\u00a0<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">My child(ren) enjoyed VBS and got a lot out of it. <\/span><span style=\"font-weight: 400;\">(Strongly Disagree, Disagree, Neutral, Agree, Strongly Agree).<br><em><strong>**Be sure to leave space to explain!<\/strong><\/em><\/span><span style=\"font-weight: 400;\"><br><\/span><span style=\"font-weight: 400;\">\u00a0<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">What is one positive experience your child(ren) had at this year\u2019s VBS?<\/span><span style=\"font-weight: 400;\"><br><\/span><span style=\"font-weight: 400;\">\u00a0<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">Suggestions or comments on how to improve VBS in the future?<\/span><span style=\"font-weight: 400;\"><br><\/span><span style=\"font-weight: 400;\">\u00a0<\/span><\/li>\n\n\n\n<li><span style=\"font-weight: 400;\">VBS was well-organized and ran smoothly. <\/span><span style=\"font-weight: 400;\">(Strongly Disagree, Disagree, Neutral, Agree, Strongly Agree)<br><\/span><em><strong>**Be sure to leave space to explain!<\/strong><\/em><\/li>\n<\/ol>\n\n\n\n<p><span style=\"font-weight: 400;\">Well . . . I know that I said there were only five crucial questions for your VBS Evaluation Form. But I\u2019m sneaking in a BONUS sixth question that I think you\u2019ll really appreciate!<\/span><\/p>\n\n\n\n<ol start=\"6\" class=\"wp-block-list\">\n<li><span style=\"font-weight: 400;\"> Are you interested in volunteering for VBS in the future? (YES, NO)<\/span><\/li>\n<\/ol>\n\n\n\n<p><span style=\"font-weight: 400;\">That last question has been SO helpful for us in the past! We ask parents right there if they\u2019re interested in volunteering for VBS in the future. Without any explanation or commitment, they can circle \u201cyes\u201d or \u201cno\u201d. It\u2019s simply to gauge interest and get names for potential <a href=\"https:\/\/thinkorange.com\/blog\/turn-vbs-volunteers-into-year-round-volunteers\/\">volunteering next year<\/a>. The only catch is our evaluations are anonymous, so we have someone quickly scan the response to this last question as forms are submitted. Then, we get names and email addresses for anyone that marks \u201cyes.\u201d Our system ensures that parents know their feedback is still anonymous.<\/span><\/p>\n\n\n\n<p><b>BONUS!\u00a0<\/b>The<span style=\"font-weight: 400;\"> feedback you collect from these forms will often provide encouraging stories to share with your volunteers, team leaders, and other staff. Don\u2019t miss this opportunity to share the positive comments and influence the team!<\/span><\/p>\n\n\n\n<h2 class=\"wp-block-heading\" id=\"h-reviewing-the-feedback-on-vbs-evaluation-form\"><strong>Reviewing the Feedback on VBS Evaluation Form<\/strong><\/h2>\n\n\n\n<p><span style=\"font-weight: 400;\">Now, for the next step in this VBS Evaluation process: reviewing the feedback. What do you do with all of the surveys or forms once they\u2019re turned in? It\u2019s easy to let these forms sit in a pile on your desk, but that&#8217;s not helpful. Let\u2019s put a SIMPLE plan in place to make sure parents are heard, and we take their feedback to heart.<\/span><\/p>\n\n\n\n<p><span style=\"font-weight: 400;\">We generally do a one-touch sorting process. This means that we read the forms and put them into three different piles:<\/span><\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-1-feedback-that-is-helpful-for-next-year\"><strong>1) Feedback that is helpful for next year.<\/strong><\/h4>\n\n\n\n<p><span style=\"font-weight: 400;\">This category is pretty self-explanatory. These cards will immediately be transcribed into a document with ideas for the team to consider either at our debrief or at planning for next year&#8217;s VBS. Remember that this is a great way to make it easy to recall lessons learned this year when you begin working on next year.<\/span><\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-2-feedback-that-is-helpful-but-should-remain-private\"><strong>2) Feedback that is helpful but should remain private.<\/strong><\/h4>\n\n\n\n<p><span style=\"font-weight: 400;\">The second category is a bit tricky. In my experience, we occasionally get feedback that is worth noting, but not anything to share with the team at large. It either calls out a person specifically or has the potential to hurt someone\u2019s feelings. Again, this is pretty rare &#8212; but occasionally happens. These cases should be investigated further, if possible, and then addressed in an appropriate way.<\/span><\/p>\n\n\n\n<h4 class=\"wp-block-heading\" id=\"h-3-feedback-that-isn-t-helpful\"><strong>3) Feedback that isn\u2019t helpful.<\/strong><\/h4>\n\n\n\n<p><span style=\"font-weight: 400;\">The last category is for the suggestions that would take your VBS program off-track or away from the mission of your ministry. It\u2019s important to have this filter in place, because your goal should always be the driving factor in your decision-making and planning process.<\/span><\/p>\n\n\n\n<p>I know this is a lot of information, but remember that you are not alone!
